Overview

All prospective suppliers must complete our supplier onboarding and due diligence process before they can provide goods or services to ICON.

Our onboarding process helps ensure suppliers meet our operational, financial, compliance, quality and sustainability requirements.

    Supplier identified

    A business requirement is identified and a supplier is proposed.

  • 2

    Initial due diligence

    Basic screening is completed to assess suitability and risk.

  • 3

    Information & documentation submission

    Suppliers respond to our onboarding questionnaire and provide required organisational and compliance information via our online portal.

  • 4

    Risk assessment

    Risk reviews are conducted based on areas such as supplier profile, services, geography, data access, IT security and regulatory considerations.

  • 5

    Approval decision

    Relevant stakeholders review the assessment and determine approval requirements. Approved suppliers are created within our procurement and finance systems.

  • 6

    Ongoing monitoring

    Suppliers remain subject to periodic reviews and ongoing due diligence.

Frequently Asked Questions

Why am I being asked for company information?

  • This helps us comply with regulatory, financial and risk management requirements.

How long does onboarding take?

  • ICON adopt a risk-based approach to onboarding so timelines will vary for each supplier.

Will all suppliers complete the same due diligence?

  • No. Requirements are risk-based and may vary depending on the nature of goods or services provided.

Can I begin work before approval?

  • No. Suppliers must be fully approved before providing goods or services unless an approved exception applies.

Supplier standards and expectations

Suppliers are expected to maintain effective policies, processes and controls that support compliance with applicable laws, regulations, contractual commitments and the requirements set out below.

Supplier code of conduct

Suppliers must:

  • Conduct business ethically and responsibly
  • Comply with all applicable laws and regulations
  • Respect human rights and labour standards
  • Maintain high standards of quality and integrity

Business ethics

Suppliers are expected to:

  • Avoid conflicts of interest
  • Maintain accurate records
  • Operate honestly and transparently
  • Comply with competition laws

Fair and inclusive practices

Suppliers are expected to promote fair and inclusive practices throughout their operations and supply chains. 

Sustainability commitments

Suppliers are expected to actively manage environmental impacts and support decarbonisation efforts.

Anti-bribery and corruption

Suppliers must maintain effective controls to prevent bribery, corruption, fraud, and other unethical business practices.

Modern slavery and human rights

Suppliers must:

  • Prohibit forced labour and human trafficking
  • Comply with modern slavery legislation
  • Support fair labour practices throughout their supply chains

Data protection and privacy

Suppliers must:

  • Protect personal and confidential information
  • Comply with applicable privacy legislation
  • Report data breaches promptly

Cyber security

Suppliers must maintain appropriate security controls to protect systems, information, and business operations.

Ongoing due diligence and compliance

Approved suppliers are subject to ongoing due diligence and periodic reviews throughout the duration of the supplier relationship.

Suppliers may be asked to provide updated information, certifications, insurance documentation, financial information, sustainability metrics, or responses to compliance questionnaires.

Supplier obligation to notify material changes

  • Information security incidents or data breaches
