COA Linguistic Validation rescue study

Case study

Delivering quality at speed for clinical trials

Overview

A top five global pharmaceutical company faced significant quality and timeline issues to multiple high priority clinical trials when its previous language services provider failed to meet required Clinical Outcome Assessment (COA) linguistic validation standards. Timelines were already compressed, and large volumes of existing materials were at risk. The sponsor needed rapid remediation without compromising quality or data integrity. ICON Language Services was engaged to stabilise the programme, address identified gaps, shorten timelines, and restore quality and compliance.

Despite severe time constraints, ICON Language Services delivered more than 240 files with zero critical quality findings, protecting trial timelines and enabling on time regulatory submissions.

Challenges

The sponsor was managing several ongoing and phase 3 clinical trials reliant on validated COA instruments across multiple languages. During routine quality checks, serious deficiencies were identified in work delivered by the previous provider, including:

  • Non-compliance with established COA linguistic validation methodology
  • Incomplete or inconsistent documentation jeopardising audit readiness
  • Missed milestones that placed study timelines at risk

Given the advanced stage of the trials, restarting the process was not an option. The sponsor required an experienced partner capable of rapidly assessing existing materials, remediating validation gaps, and delivering high quality, compliant COA translations within aggressive timelines.

Solutions

The focus was on correcting identified gaps, ensuring alignment with required COA linguistic validation expectations, and progressing delivery within the existing study timelines. ICON Language Services worked in close collaboration with the sponsor to:

  • Review existing materials and documentation inherited from the previous provider
  • Address quality and compliance issues identified during sponsor review
  • Continue delivery of COA linguistic validation files across multiple languages under tight timelines

This approach enabled the sponsor to stabilise the programme and move forward without restarting validation activities, while maintaining confidence in the quality of the deliverables.

Outcomes

ICON Language Services successfully rescued and delivered the programme under challenging conditions:

  • 240+ COA and related clinical files delivered across multiple languages
  • Compressed timelines met despite late-stage handover and legacy content
  • Zero critical quality findings during post-delivery QA review
  • Clinical trial timelines protected, avoiding delays to key milestones and submissions

The sponsor regained confidence in the linguistic validation process and secured continuity across its global clinical programme.
